How Real Estate Agents Keep Up With Client and Transaction Email

A private inbox workflow for buyer and seller inquiries, showing requests, lender and inspector updates, transaction deadlines, and client-ready drafts.

Team DeckIndustry Playbooks

A real estate agent's inbox changes meaning every few minutes. A new buyer asks about a listing. A seller wants feedback after a showing. An inspector sends a report, a lender asks for a document, and a closing date moves inside a thread that already includes six people.

The work is not just answering email. It is preserving the property, party, transaction stage, deadline, and promise behind every message while staying responsive to the client in front of you.

Use an assistant inbox as a private coordination layer

Deck has its own email address. Forward a buyer inquiry, CC your assistant on a selected transaction thread, or email it the relevant report and instructions. Deck sees only what you deliberately share. It does not read the brokerage mailbox unless you connect it.

Its summary or draft returns privately to you. Your assistant does not reply to the buyer, seller, other agent, lender, attorney, inspector, or closing team. You verify the facts, decide what advice is appropriate, and send the final communication yourself.

Five useful real estate handoffs

  • New inquiry qualification. Extract the property, buyer or seller signal, stated timing, financing or current-home context, requested action, and missing details. Return a reasoned first read and a short draft for review.
  • Transaction-thread brief. Summarize the parties, property, current stage, explicitly stated dates, open questions, documents mentioned, and the person who owes the next response.
  • Showing and feedback read. Turn selected showing notes or messages into a concise seller update that separates documented feedback from interpretation.
  • Inspection or lender handoff. Identify the supplied finding, request, deadline, and unanswered question without interpreting legal obligations, repair responsibility, underwriting, or contract rights.
  • Daily open-loop brief. Schedule a private summary from the real estate material you have shared: unanswered inquiries, promised follow-ups, approaching milestones, missing documents, and threads waiting on another party.

Route marked website inquiries through Mailroom

An agent or brokerage can set a contact form to send to its Deck assistant address, or forward those messages with a stable marker such as [Website buyer inquiry]. A custom Action can then read the substance, flag the inquiries that match the agent's stated criteria, and prepare a next response.

The marker is the reliable trigger; the instruction handles the judgment. The result returns to the agent or team owner for review, never directly to the prospect. The setup follows the Mailroom inbound qualification workflow.

A prompt for a transaction update

Review this real estate thread and the documents I supplied. Identify the property, parties and roles, transaction stage, dates and deadlines exactly as stated, open questions, missing documents, and the person responsible for the next step. Separate confirmed facts from assumptions. Then draft a concise client update for me to review. Do not interpret a contract or disclosure, give legal or financial advice, estimate property value, change a term or deadline, contact anyone, or make a commitment on my behalf.

That division matters. Deck can reduce the reading and drafting burden, but the licensed professional and the client's appropriate legal, lending, inspection, or tax advisors remain responsible for advice and decisions.

Give a team one consistent handoff

A solo agent can start with one assistant address. Enterprise brokerages and real estate teams can link multiple email addresses to one assistant, so an agent, team lead, and transaction coordinator can deliberately share the relevant work. They can also use an address on their own domain—transactions@yourbrokerage.com, for example—instead of the default @agent.hellodeck.ai domain.

The recognizable address makes forwarding easier across a team. The privacy model stays the same: Deck works only from the material sent to it and returns the prepared work privately to linked users.

Pair the inbox with a pipeline review

Individual threads show what needs attention today. A weekly pipeline report shows active buyers and sellers, listing and contract milestones, follow-up gaps, and the closings that need an owner. The weekly real estate pipeline report template turns approved CRM, transaction, listing, and calendar exports into that source-grounded review.
