  • draft response for agent review.

The brief should distinguish what the thread proves from what requires checking in your agency management system or carrier materials. Match the follow-up to the stage

A lead, an active quote, and a renewal do not need the same note.

  • New lead: restate the need, ask for the smallest missing detail, and offer one next step.

  • Quote delivered: reference the option already discussed and invite a specific question or decision.
  • Renewal: name the actual renewal date and the decision or document still open.

Avoid generic “checking in” language. A useful follow-up makes the decision easier because it restores the relevant context.

Keep automation on the safe side of judgment

Your assistant should not choose coverage, make a binding statement, invent a carrier position, or contact the prospect automatically. Ask it to surface missing information, organize dates, and prepare grounded language for your approval.
